1. Who we are and what this notice covers
Jet Island Tours Ltd (BRN C25229109), Lotus, Palma, Quatre Bornes, Mauritius (“Jet Island Tours”, “we”, “us”) provides school transport for pupils of Le Bocage International School. We are the controller of the personal data described here under the Mauritius Data Protection Act 2017.
This notice covers our website jetislandtours.mu, enquiries you send us, the parent app at portal.jetislandtours.mu (live van tracking, trip history, absence notices, requests for a different pickup or drop-off place, your account and receipts, messages and notifications), the driver app our drivers use on the school run, and the management app our owner and office team use to keep the records we need to run the service and manage fees.
2. The information we collect
- Parent or guardian details — name, email address, mobile and WhatsApp numbers, and your messages to us.
- Other contacts you give us — for example a second parent or guardian who also uses the parent app, or another person we may contact about your child (name, relationship, phone, WhatsApp and email).
- Your child’s details — name, class or year group and school, home address if you give it to us, the van and trips they take, start and leaving dates, and any notes you choose to give us that help us look after them on the journey.
- Pickup point — the agreed pickup location (a pinned map position) and its place in the van’s pickup order, and any temporary or weekly change (another van or stop on certain days).
- Places and change requests — when you ask in the parent app for a different pickup or drop-off place, the place you pin on the map (its position, the name you give it and any note for the driver), the days and trips you ask for, your message, and our answer. Places we approve are saved so you can choose them again.
- Absence notices — the days and trips (morning, afternoon or both) on which your child will not travel, and who recorded the notice (you, our office or the driver).
- Trip and attendance records — for each trip, what our driver records in the driver app: on board, absent, not at the pickup point or dropped off, with the time and who recorded it. If a child is dropped off somewhere other than their usual stop, we also record the reason, who agreed to it and where it happened: the van’s position at that moment or, if the van’s tracker is not working, the location of the driver’s phone at that moment only. You can see your own child’s record in the parent app, including on a map where they were dropped off if it was not at their usual stop.
- Vehicle location data — the position, speed and ignition status of our vans, provided by a GPS tracker fitted to each vehicle. This tracks the van, not your child; it becomes linked to your child only because it shows the progress of the trip your child is booked on.
- Messages and notifications — the messages and trip notifications we send you (in the parent app, by email, WhatsApp or phone notification), and whether an email was delivered or bounced.
- Portal activity — sign-ins, when tracking was viewed, notifications sent, and settings you choose. We keep this to secure the parent app and to show who accessed what.
- Fees and payments — fees, discounts, amounts paid, receipts, balances, payment method and the account paid into. Parents can see their own family’s balance, fees month by month and receipts in the parent app.
- History of changes — our management app records who changed a record, when, and what it was before and after, so that mistakes can be traced and corrected.
- Technical data — basic information your browser sends when you visit the website or parent app (for example device type and internet address), and, if you switch on notifications, a notification address for your device.
3. Children’s information
Our service is for children, so we take particular care. We only process a child’s personal data with the consent of their parent or guardian, collect only what we need to transport them safely, and never use it for marketing. Children do not have accounts; the parent app is for parents and guardians only.
4. Why we use your information, and our legal grounds
- To provide the transport service you agreed with us — planning routes and pickup order, informing our drivers and staff, handling absences and communicating with you (performance of our agreement with you).
- To show you the live location of your child’s van and send trip notifications (your consent, which you can withdraw at any time).
- To keep children safe and run the service properly — for example keeping a record of trips, of who was on board and dropped off, and of absences, keeping a history of changes to our records, and securing the parent app (our legitimate interests, balanced against your rights).
- To manage fees and keep accounting records, and to meet licensing and legal requirements (legal obligation and performance of our agreement).
- To answer enquiries sent through the website, WhatsApp, phone or email (steps taken at your request before an agreement).
5. How live tracking and trip records work
- You can only see the van assigned to your child, and only during the school run times (from shortly before the first pickup until the van reaches school in the morning, and from school until the last drop-off in the afternoon). Outside those times the map is closed.
- You see the van, your own pickup point and the school. Other families’ pickup points and children’s names are never shown to you.
- Notifications such as “approaching your stop” and “arrived at school” are based on the van’s GPS position and confirm where the van is.
- Whether a particular child got on or off the van comes from what our driver records in the driver app (on board, absent, not at the pickup point, dropped off). It is a record made by a person, not by tracking your child.
- Our drivers see the names and pickup points of the children on their own run only, to do their job. Only drivers chosen by the owner also see parents’ phone numbers, to call about the trip; other drivers call our office instead. Our owner and office team see the records they need to run the service.
6. Sharing your information
We do not sell your personal data. We share it only as needed with:
- our drivers and staff (drivers: their own run only);
- service providers acting on our instructions:
- our GPS tracking provider (MyGPS, Mauritius);
- website and parent app hosting, and the website enquiry form (Netlify);
- our database provider (Supabase);
- our email delivery provider (Brevo);
- our AI assistant provider (Anthropic, USA) — used only when our owner or office team ask the assistant in our management app a question about our records. It only reads; it never makes decisions about you or your child;
- map providers: the maps in the parent app are loaded by your device directly from OpenStreetMap (street map) and Esri (satellite view), so they receive your device’s internet address and the map area shown. When our office looks up an address, the search words are sent to OpenStreetMap’s search service, and opening a location from our records may show it in Google Maps. Our drivers can open their route in Google Maps for directions, which passes the stop locations (map pins, not names) to Google;
- if you switch on notifications, they are delivered through your phone or browser maker’s notification service (for example Apple, Google or Mozilla);
- WhatsApp (Meta), when we message you on WhatsApp;
- professional advisers, and public authorities where the law requires it.
7. Where your information is held
Our database is hosted in the European Union (Frankfurt, Germany) and our website and parent app are served through a global network. Some providers process information outside Mauritius, including in the United States (for example Anthropic for questions to our AI assistant, and notification and map services). Where data is held or processed outside Mauritius, we use providers that offer appropriate safeguards for personal data, as required by the Data Protection Act 2017.
8. How long we keep it
- Vehicle location history: 30 days, then deleted.
- Absence notices, trip and attendance records, notifications: 12 months.
- Messages we send you and email delivery records: 12 months.
- Portal activity logs: 12 months.
- Questions asked to our AI assistant (with its answers): 12 months.
- Notification addresses for your device: until you switch notifications off, and deleted after 180 days without use.
- Parent and child details, other contacts, pickup point, saved places: while your child uses our service, then 12 months.
- Requests for a different pickup or drop-off place: 12 months.
- Fee and payment records, and the history of changes to them: for the period required by Mauritian company and tax law.
- Website enquiries that do not lead to a booking: 12 months.
9. How we protect it
The website and parent app use encrypted (HTTPS) connections. Parents and drivers sign in with one-time codes and our owner and office team with their own personal accounts; access is limited by role (parent, driver, office, owner) and by family, and database rules prevent anyone from seeing another family’s information. Our AI assistant can only read what the person asking is allowed to see, and parent link codes, keys and passwords are never sent to it. Our staff and providers are bound by confidentiality.
10. Your rights
Under the Data Protection Act 2017 you may ask us to:
- give you access to, and a copy of, the personal data we hold about you and your child;
- correct information that is inaccurate or incomplete;
- erase information we no longer need, or restrict how we use it;
- stop processing based on our legitimate interests (object);
- withdraw your consent to live tracking and notifications at any time — in the parent app under Settings, or by contacting us. The transport service itself continues unaffected.
We make no decisions about you or your child based solely on automated processing. Our AI assistant only helps our team find information; decisions are always made by our staff.
11. Cookies
Our website does not use advertising or analytics cookies. The parent app only uses storage on your device that is strictly necessary to keep you signed in, remember your email address for the next sign-in and remember your settings. If this changes, we will update this notice and ask for your consent where required.
12. Complaints
If you have a concern, please contact us first and we will try to resolve it. You also have the right to complain to the Data Protection Office, Mauritius.
13. Changes to this notice
We may update this notice from time to time. The date at the top shows when it last changed, and we will tell parents about any significant change through the parent app.
